Phone Scripts That Convert Callers Into Appointments

  • "Is this urgent, or are you planning ahead?" — sets the booking timeline.
  • "Have we worked with you before?" — new versus existing changes everything downstream.

The Booking Ask

Never end with "we'll get back to you". Offer two specific times: "I can do Thursday at 10, or Friday afternoon around 2 — which works better?" A choice between two options converts dramatically better than an open question, and it ends the call with a commitment rather than a maybe.

Handling The Price Question

"Most jobs like that run between $X and $Y depending on [the one real variable]. I can get you an exact number once we've seen it — want me to book that for Thursday?" Give a range, name the variable, and move straight back to booking. Refusing to answer price is the fastest way to lose a caller.

The After-Hours Script

"You've reached [Business] — we're closed right now, but I can take your details and get you on the schedule for tomorrow morning. Can I start with your name and number?" Never let an after-hours caller reach a dead end. Capture, confirm a callback window, and honour it.

The Close, Every Time

  • Read the callback number back digit by digit.
  • Confirm the appointment day and time out loud.
  • Say what happens next and when.
